At Vidyadhar Global AI Innovations Private Limited (VGAII), we provide a "Patient Growth System" that relies on seamless automation. This policy explains how we collect, process, and share data across our integrated service stack.

01 Scope of Data Collection

We act as a Data Processor for your clinic. When patients interact with your automated systems, we collect:

  • ● Contact: Name, Phone & Email.
  • ● Appointment: Dates, times & location.
  • ● Metadata: WhatsApp & GMB timestamps.
  • ● Feedback: Reviews & survey responses.

02 Integrated Services & Data Sharing

Data is synchronized across the following platforms to fulfill the "Essential Package" functions:

Google Sheets: Primary database for lead logging and record-keeping.

Trello: Lead management CRM to track the journey from inquiry to booking.

Calendly: Live scheduling data pushed to your CRM and WhatsApp engine.

WhatsApp API (AiSensy/Meta): Used for reminders, warming, and reviews.

Google Business Profile & Analytics: Automated review replies and ROI tracking.

03. Security

  • • No Medical Records: We do not store PHI (Sensitive Medical History).
  • • Encryption: SSL/TLS protection for all data in transit.
  • • Access: Restricted to authorized clinic and support staff.

04. Billing

  • • Setup Fee: ₹4,999 fee is non-refundable once configuration begins.
  • • API Costs: Clinics are responsible for direct WhatsApp/Meta credits.

05. Your Responsibilities

As the Data Controller (the Clinic), you must ensure patients are aware their contact details are processed by VGAII for scheduling and feedback automation.

Terms of Service

01. One-Time Setup Fees

The one-time setup fee of ₹4,999 is strictly non-refundable. This covers the manual labor of API integration, workflow architecture in n8n, and CRM provisioning which begins immediately upon payment.

02. Subscription & Renewal Policy

Subscription renewals are billed monthly. We offer a 7-day refund policy on renewal payments. If you wish to cancel and request a refund for the current month's renewal, you must notify us via WhatsApp or Email within 7 days of the renewal date.

03. External API Costs

The Essential Package covers our management and infrastructure. Costs associated with third-party platforms (e.g., WhatsApp/Meta conversation credits, Google Ad Spend) are the direct responsibility of the client.

04. Legal Jurisdiction

Any disputes, claims, or legal proceedings arising out of or in connection with these terms or the use of our services shall be subject to the exclusive jurisdiction of the courts in Agra, Uttar Pradesh, India.
